Human Resources Associate – Maternity Leave (Six Months)

Overview of Position

The Human Resources Associate (HRA) will work closely with the Chief Financial Officer and Head of School to develop, enhance, and implement a comprehensive human resource program encompassing policies, procedures, and evaluation metrics for Prospect Sierra School.  The HRA will perform the daily, monthly, and annual administration of the employee human resource programs of the School. This position requires strong communication abilities, developed analytical skills, and comfort with collaboration and teamwork.  

Primary Responsibilities

  • Ongoing administration of all health, welfare, and retirement benefits available to employees, overseeing vacation and sick time, and enrolling new employees in benefits programs
  • Managing general HR benefits program including processing changes to benefit plans and maintaining online employee benefit portals
  • Administration and preparation of all aspects of the semi-monthly payroll
  • Work closely with hiring managers throughout the new employee recruitment process including, as needed, position design and description, compensation assessment, position marketing, candidate screening, organization of interview process, and the review of backgrounds/job history
  • Serve as first point-of-contact and day-to-day problem solver for employees with questions and/or issues on payroll and benefits, including following up with relevant providers as necessary. Timeliness and accessibility are critical to ensure strong and trusting employee and vendor relationships.

Essential Duties

  • Process exempt and non-exempt semi-monthly payroll through the external payroll processing system ensuring the accuracy of compensation amounts, tax information, and benefit or other deductions.
  • Create monthly reconciliations of all payroll-related accounts.
  • Coordinate annual employee open enrollment process including provider presentation scheduling, document preparation, updating informational portals, and employee meetings.
  • Collect and review all required beginning of new school year documents and information.
  • Manage enrollment and payment process with providers of medical, dental, FSA, DCA, commuter benefits, retirement, life, and long-term disability insurance benefits.
  • Work with CFO and external brokers to summarize and analyze all data required for the annual benefits renewals.
  • Track and manage all required forms, training, and certifications for all staff (including but not limited to TB certifications, sexual harassment training, I-9s, and child abuse reporting).
  • Prepare and manage all new hire paperwork including background checks.
  • Prepare and manage all employee separation-related paperwork and required notifications.
  • Track all faculty and staff time off. Keep accruals up to date and working properly. Add new accruals as necessary.
  • Work with supervisors to create and manage plans for all employees requesting leaves of absence (FMLA, CFRA, and bonding) according to government and school policies.
  • One-on-one meetings as needed for all faculty and staff to ensure a full understanding of benefit offerings and payroll payments.
  • Complete all Verification of Employment requests, and past employment for schools as needed.
  • Ensure that all government and agency reporting (ACA, multiple worksite, EE01, surveys, etc.) is completed in a timely, accurate fashion.
  • Compile annual payroll information for Worker’s Compensation, general liability, and financial audits.
  • Create employment agreements and individual benefit analysis at CFO and HOS direction.
  • Keep up on all changes to federal, state, and local labor laws.
  • Work with an external audit firm to compile data necessary for annual tax filing (990).
  • Train and cross-train with other business office employees to ensure a broad knowledge of all essential functions.
  • Manage the accurate and timely processing of monthly benefits-related billings for all group plans, reconciling accounts as necessary.
  • Manage leave requests, disability claims, and workers’ compensation claims as they arise, including coordination of all required paperwork.
  • Assist other members of the Business Office as needed.

Other Duties

  • Provide data for yearly surveys of NAIS, CAIS, ISBOA, and other professional membership organizations.
  • Perform other duties as may be requested by the HOS or CFO.
